1 About Studio Hire
1.1 Our Values: Sunshine Art School offers a safe and inspiring environment for creative expression with a focus on eco-friendly materials and practices.
1.2 Who can hire: We take a lot of pride in our space and will happily consider events that are a good match with our values and present no risk to our good name, our venue and our relationship with our landlord. We do not hire for parties.
1.3 Approval: Sunshine Art School reserves the right to approve bookings on discretion. We will review your application for approval before sending further booking and payment instructions.
2 Bookings
2.1 Bookings: An application form with your contact and event details needs to be submitted for approval before bookings can be made. Once approved, we will email you the required documentation and payment instructions.
2.2 Studio Availability: The studio is generally available for hire on Saturdays, Sundays, and Mondays and every day of the week during school holidays. Please email us to confirm available dates and times.
2.3 Event Duration: Booking times must include set-up and breakdown times. There may be back-to-back bookings, and the space should be ready for the next hirer at the end of your booked timeslot. The minimum booking duration is 2 hours. We offer discounts for longer duration bookings. Refer to the hiring fees and deposit table below.
2.4 Payment: The full hire fee must be paid at the time of booking.
2.5 Bond Requirement: A $100 bond needs to be paid together with the full hiring fee. The bond amount is the same regardless of the booking duration. The bond acts as a security against potential damages and will be refunded within 15 business days after the event, provided the studio is left in its original condition and there are no outstanding charges.
2.6 Hiring Fees: Please refer to the hiring fees as advertised on our website. Fees may vary depending on the duration, number of days, or type of event.
3 Cancellation Policy
3.1 If the event is cancelled or reschedule less than and including 5 business days before the event date, the hirer will forfeit the total hiring fees. This policy is in place because cancellations on short notice often mean we cannot rebook the space.
3.2 We reserve the right to cancel any booking without notice and will refund any booking and bond fees in full.
4 Access
4.1 Keys: Keys will be available on the premises in a lockbox, unless otherwise arranged by Sunshine Art School. The lockbox code will be provided before the event.
4.2 Locking up: All doors and windows should be shut and locked on departure and keys returned and locked in the lockbox. Failure to secure the premises on departure and resulting damages will be deducted from the bond as required.
4.3 Access Restrictions: When referring to “Studio” it includes access and use of the main studio space and the kitchen. The adjacent “Shop” area is excluded, and access is restricted.
4.4 Disability Access: The studio and toilet facilities are fully wheelchair accessible. Contact us if you have any specific questions in relation to disability access.
5 Directions and Parking
5.1 Location: The studio is located at Shop 5, 184 Main Street, Montville, behind the Salvation Army.
5.2 Parking: Parking in the main street can be limited, especially over the weekend. The best parking is at the large parking area next to Russel Park. From there it’s a short walk to the studio.
5.3 Loading: If you need to unload equipment or supplies, the driveway directly in front of the Salvation Army can be used outside normal business hours (8am-5pm). This is purely just for loading purposes and vehicles should not be parked at this location for extended periods of time.
6 Capacity
6.1 The studio space measures approximately 55 sqm, making it ideal for small to medium-sized gatherings. The space is fitted with tables and chairs, comfortably accommodating 10 people excluding hosts/instructors. As such we do not allow any events that exceed this capacity.
7 General Housekeeping
7.1 Cleanliness: The studio must be left exactly as found. All tables and chairs must be returned to their original positions. A departure checklist will be provided detailing the required checks and cleaning before departure. If any additional significant cleaning is required, we will charge a $60/hour cleaning fee from the bond.
7.2 Toilets: Access to the toilets is restricted via an access code. The access codes and location of the toilets will be provided in the welcome pack. The toilets are shared with the other business and customers in the Belvedere Building and should be clean and tidy at all times. The toilets should be inspected before departure to ensure they are clean and orderly. If any additional significant cleaning is required, we will charge a $60/hour cleaning fee from the bond.
7.3 Aircon: There is a split air-conditioning unit in the studio for the use of the hirer. It is the hirer’s responsibility to ensure the air-conditioning unit is turned off on departure. Any loss or damage of the remote will be charged against the bond.
7.4 Sunshine Art School property: Sunshine Art School runs weekly art classes and supplies and materials are stored on the shelves in the studio and kitchen. We keep a strict inventory of all materials and equipment, and any missing items will be charged against the bond.
7.5 Fridge: There is a bar fridge in the kitchen which can be used to temporarily store perishable items. All items should be removed from the fridge on departure. Any left items will be discarded without notice or compensation.
7.6 Security: The studio should never be left unattended unless all the doors and windows are locked. This includes during lunch or other breaks during your event.
8 Prohibited Items
8.1 No Smoking: Smoking is strictly prohibited inside the studio or anywhere outside on the premises.
8.2 No Alcohol: The studio is a strictly alcohol-free area. The space is not intended to be used for parties or similar events. We encourage events and workshops that match our ethos of health, wellness and creative expression.
8.3 Open flames: No open flames, including candles or incense, are allowed in the studio. Battery-operated candles are permitted for ambiance.
8.4 Fragrances and solvents: The use of any strong fragrances or solvents are not permitted in the studio. The studio is a toxic and fragrance-free environment.
9 Insurance and Liability
9.1 Insurance: We hold public liability insurance cover for up to ten million dollars ($10 000 000) covering injury or property damage claims arising from accidents during your event. However, this does not cover personal property or event-specific risks. Hirers are encouraged to have their own insurance for such circumstances.
9.2 Liability for Damages: The hirer is responsible for any damage caused to the studio, its contents, or equipment. All damages must be reported immediately, and repair or replacement costs will be deducted from the bond or charged separately if they exceed the bond amount.
10 Health and Safety
10.1 The hirer is responsible to adhere to all provided health and safety guidelines and take necessary precautions to ensure a safe environment for all attendees.
10.2 There is a fire extinguisher and emergency exit plan on the wall next to the front door and a fire blanket on the wall next to the sink in the kitchen.
11 General Conduct
11.1 Behaviour: The hirer is responsible for the behaviour and conduct of all attendees. No loud music or rowdy behaviour is permitted out of respect for the other businesses in the building. The studio must be used respectfully, adhering to all applicable laws and regulations.
12 Amendments and Updates
12.1 Changes to Terms: We reserve the right to amend these terms and conditions at any time. Any changes will be communicated promptly and will apply to all future bookings.
